Job Description

Our client, a leading cosmetics manufacturer, has an exciting position available supporting the Customer Project Managers in driving the timely execution of developmental requests as well as existing purchase orders. Close working relationship with Sales, Quality, and the Logistics Department to make sure orders are completed and processed as scheduled. Develop skills to backup CPMs for client calls and status meetings

Job Functions:

Compile daily management reporting slides every morning
Organize daily management meeting on rotating schedule with CPM Team
Update Job Change Log weekly noting reasons and accuracy of revenue moves.
Order entry and adjustments as needed by CPM team including validation of pricing, updating and validating shipment schedule (especially for Sephora), ensuring accurate documentation to support order is attached in the order entry screen
Organize client inventory dates to prevent conflicts with production scheduling
Issue ship requests and track status of urgent shipments. Provide follow-up and support on logistics as needed. This includes collaboration with clients and clients'third-party logistics providers
Understand and organize pallet releases for service and revenue goals. Provide direction and decisions to Quality on priority finished good releases
Provide priorities to Planning and OPS to support service and revenue goals
Pull product samples as needed for clients and sales
Support the CPMs in mailing proofs and processing submission feedback received from clients
Organize and upload artwork files for CPM Pre-Press Specialist
Understand transactions in Pre-Press screen to provide support for CPM Pre-Press Specialist and the CPM team as a whole
Serve as a backup to the CPM Pre-Press Specialist for specific tasks involving follow up with print suppliers and layout/positioning questions for the OPS teams. Provide decisions and directions to print suppliers on priority proofs
Process and serve as main contact to IT for system issues, seeing through to resolution. Provide updates to the CPM team on the progress and resolution.
Open Help Desk tickets for the team and serve as department point of contact for Help Desk. Provide updates to the CPM team on the progress and resolution of the Help Desk ticket
Manage several of the low volume, low development client accounts independently
Maintain the Le Labo fragrance Open Order Report. Independently manage updates on the report and collaborate with client on priorities and parts deliveries. Chair status meetings with Le Labo as needed to back up the CPM
Perform the weekly upload of all Le Labo fragrance orders into system. Review all orders for accurate pricing and ship dates. Ensure accurate documentation is available on all Le Labo fragrance orders to expedite invoicing
Serve as backup to any individual CPM as needed during times of short staffing.

Education/Experience:
College Grad preferred
Must be organized, detail-oriented, with strong problem-solving ability
Demonstrated time management/organization skills –focus on priorities.
Ability to respect and meet deadlines. Flexibility in managing last-minute requests expediting
Must have strong internal/external customer service orientation with emphasis on clients, production, supply chain, quality and safety

Professional and forthright attitude in developing relationships with both internal and external clients Proactive approach in working with team and clients
